Arts Project Director

Qualifications:  Experience in program administration, organizational skills, dedicated to advocacy for persons in mental health and addiction recovery, likes to work with people.
 
Time required:  Estimated average 20 hours a week.
 
Grants to fund services
Coordinate grant preparation with Administrative Assistant
Monitor that evaluation data is being collected
Coordinate grant reporting with Administrative Assistant
Research available grants and requirements
 
Art Classes
Determine class schedule based on funding for art teachers
Outline which grants pay for which classes
Coordinate class schedule, teacher preparation with Arts Liaison
Collect outcomes, attendance data
 
Art Inventory
Receive two pictures from each art class member for exhibits
Inventory artwork with identifying numbers
Take digital pictures of picture with and without identifying numbers
Prepare art for exhibit, either with professional framers, HAPI frames or clear bags
Sort prior art to return to artists
Seek an alternative storage and workshop for art preparation.  Now art is stored at Arts Project Director’s house.
 
Exhibits
Contact venues for exhibit
Identify space available, determine pictures to exhibit
Prepare title blocks for pictures
Number pictures to match a list of art for the exhibit
Transport art to venue and hang if they prefer or leave for staff to hang
 
Public Relations / Marketing
Share the story of the artists to inform the public about HAPI
Coordinate with Administrative Assistant for Emma emails to data base, facebook and twitter information
Coordinate with webmaster on updates of Website
 
Phoenix Art Gala
Coordinate work with HAPI Board to prepare for the Gala and solicit sponsors
Identify art to feature at the Gala, work with Volunteers to prepare the art
Participate in set up and finalize records after the Gala
 
 Writings Book
Ask for writings from mental health and addiction community in May
Share the entries with a Reading group who will select about 30 written pieces
Coordinate selection of original HAPI artwork
Coordinate with graphic designer about layout and preparation of material for printer
 
Art for Awareness
Coordinate with TN Department of Mental Health and Substance Abuse Services to plan and publicize Art for Awareness
Collect all the art brought to the event and prepare for hanging in Legislative Plaza
Hang in Legislative Plaza with title blocks for artists
Remove when exhibit is over and coordinate on return of art to artists
 
Financial Management
HAPI engages an accounting firm for independent quarterly oversight of revenue and expenses.  They prepare quarterly reports with Balance Sheet, Receipts & Expenses, Statement of Revenues and Expenses and General Ledger.  The accounting firm prepares the 1099’s.  We are seeking an agency to perform these service and track costs for each grant to replace HAPI manual creation of Excel spreadsheets for grant reporting.  The agency would also enlist a CPA for annual review to assure that HAPI finances meet accounting standards.
 
Serve as Treasurer to the nonprofit Healing Arts Project, Inc.
Write checks to pay for services invoiced to HAPI for art teachers, Administrative Assistant and operational costs.
Prepare the 990 report and State Charitable Solicitations permit.
